These instructions detail how to configure your Operational Data Store to work with the Synoptix client.
PRIOR TO ODS MIGRATION
● You will need to create an ODS database on your server prior to beginning the process. database according to your own naming convention.

ODS MIGRATION STEPS
● Log into your Colleague website. In the search bar, type “DOTA.”
Select the DataOrch Target Lookup that appears.
● In the pop-up that appears, you will be prompted to enter a name for the DataOrch Target Lookup. This name is what will be in the DOTA record & is determined by client preference. Once you add the name, click Ok.
You will informed the record does not exist in the system, and can click “add” to create it.
● A form will load that you will complete with the relevant information. Please note that the data contained in these examples is not all-inclusive; the correct information will vary based on your environment.
The host is your main SQL server containing all of your
databases. The name or IP address are accepted.
The database name/TNS is the name of the new ODS
database you have created specifically for this process.
The username and password are your SQL server credentials for user with owner rights.
● Anywhere you see a folder icon, you can add requested information. Select this folder next to Temporary File Path to add the folder structure that drills down to the Ellucian location. The folder breadcrumbs are each listed on their own line. If you do not remember this location, you can copy it from an existing Colleague DOTA.
● When the Temporary File Path has an “X” in the box, it indicates you have populated this data. The SQL views line may remain blank.


HELPFUL TIP​: it is recommended for users to save this DataOrch Target
window prior to proceeding to adding the Source Transforms. Likewise, it is a
good practice to frequently save as the Source Transforms are being added,
And confirm that they are appearing in the DORE as you enter and save them.


There are 80 separate Source Transforms to be added. If you do not possess this data internally, you can contact Synoptix Support to request the spreadsheet at ​Support@Synoptixsoftware.com
Please note that the Source Transform names should be capitalized and must match the spreadsheet exactly; if you receive a
“doesn’t exist” error, it indicates the name was entered wrong.
● For all of the Source Transforms, you will type in the name and hit enter. This will open up a new screen. You can also open up this new window by using the folder icon next to the Source Transform name.
● In the new window for each Source, click “add,” and select “yes” to include all fields. There are 3 exceptions to this rule: the GLS.FYR, GLA.FYR, and NSD.ACYR. These three need additional data.
● For GLS.FYR and GLA.FYR, under the Filters/File Suite Instances, use
the folder icon to lookup data. In this new window, you will add the fiscal years. You can lookup the years stored in Colleague by using the ellipsis icon
in the field, or simply typing 3 periods and hit the enter key.
● Once all of the Source Transforms are added, select Save All.
● Using the search bar, type in “DORE”
Select the DataOrch Refresh that appears.
Within the DataOrch Refresh Lookup window,
Search for the same name that was used for the DOTA record.
● Enter the proper credentials you are prompted for.
The update type should be “FULL” and use all
Source Transforms.
If you need to look up the RDAS Listener, you can type an
ellipsis into the field and press enter to use the lookup function. You can double click the correct option to select the RDAS
Listener, and it will auto-populate the other fields.
Please note any boxes outlined in red are required fields.
● Note that the Output Device should always be located on
the H Drive.
● The scheduling configuration depends on your
environment and preferences.
Similar to the FRX process, users often schedule the process to run nightly.
● Once you have completed the forms and click Save All, the process will begin to run. Depending on the number of fiscal years involved, it may take approximately an hour to complete.
